Why most "personalised" cold email still sounds robotic
Cold email personalization is supposed to show the reader that you picked them on purpose. Too often it does the opposite. "Hi [first name], I came across your company and was really impressed" fools nobody, and an AI that writes three paragraphs of flattery about someone's website is not much better.
The fix is not more personalisation. It is better personalisation: a few true, relevant details, a clear reason for writing, and an email that a person could have written in two minutes. This guide shows how to get there with templates, variables and AI, and how to keep a human in charge of what goes out.
What good cold email personalization looks like
Before touching any tool, decide what "personal" means for your offer. A useful test: if you deleted the personalised parts, would the email still make sense to anyone? If yes, the personalisation is decoration. If no, it is doing real work.
Details that tend to earn their place:
- Who they are and where. The business name and city tell the reader this isn't a blast to the whole internet.
- What kind of business they are. A dental clinic and a roofing contractor have different problems. Speaking to the category is often more persuasive than a fact about one company.
- Something visible about them. Their website, their Google Maps listing, their review count. Use these carefully and only when they connect to your offer.
- A reason that fits. Why you, why them, why now. This is the part most automated emails skip.
Details that usually backfire:
- Compliments you can't back up ("I love what you're doing").
- Facts that feel like surveillance rather than research.
- Anything you haven't checked. A wrong detail is worse than none.
Three ways to personalise, from simple to fully AI-written
There is no single right level. Pick the one that matches how varied your audience is and how much time you have to review.
1. One template with variables
This is the workhorse of cold email personalization. You write one strong email and let variables fill in the details for each company. In Signalsant, variables are placeholders such as {{company.name}} or {{company.city}}, filled in when each email is sent. See Personalization variables for the full list.
A few that are useful in sales outreach:
{{company.name}}and{{company.city}}{{company.category}}, the kind of business{{company.domain}}, their website{{company.rating}}and{{company.reviews_count}}, from their Google Maps listing{{contact.first_name}}and{{contact.designation}}, when a contact is known{{sender.name}}, your own name
The most important habit is the fallback. An empty value without one becomes blank, which is how you end up with "Hi ," at the top of an email. Contact details are often unknown, so write greetings like this:
Hi {{contact.first_name | "there"}},
You can also show different text depending on whether a value is known:
{{#if contact.first_name}}Hi {{contact.first_name}}{{else}}Hi there{{/if}},
In the Email Studio, use Fallback… next to a variable, or If a field is empty…, rather than typing these by hand.
2. A different template for each category
If your audience mixes kinds of business, one email rarely fits all of them. In a campaign's Content step, choose By category and set For companies in category for each email, with one email left as Every other company as the catch-all.
This is often the sweet spot for sales teams. You write a handful of emails that speak to each segment's real problems, and variables handle the names and places. Every word was written or approved by a person, so nothing sounds generated.
3. AI-written emails for every company
When you want each email to read differently, choose AI-written in the Content step. You write a Brief for the AI: who you are, what you offer and the tone, in a sentence or two (up to 4,000 characters). Each company's name, location and website details are added for you, and a fresh email is written for every company just before it's sent.
You can also pick a Layout under the campaign's Email → Settings. The AI then rewrites only the headings, text and button labels, and keeps your images, links and signature as you designed them. That is a good way to keep your branding fixed while letting the words adapt.
See Choose a campaign's content for how each approach works.
How to brief the AI so it doesn't sound like a robot
AI output is only as good as the brief. Most robotic emails come from vague briefs like "write a cold email selling our service". Give it the same context you would give a new colleague.
A good brief covers:
- Who you are, in one line. "We're a small agency that helps clinics get more from their Google reviews."
- What you offer, specifically. A free audit, a short call, a sample. Not "our solutions".
- Who you're writing to. "Owners and managers of independent dental clinics."
- The tone. "Plain, friendly, no exclamation marks, no compliments about their website."
- The ask. One clear next step, such as a 15-minute call.
- What to avoid. Phrases you never want to see, claims you can't support, length limits.
That last point matters. Telling the AI what not to do ("don't claim we've worked with them", "don't invent numbers") is one of the simplest ways to stop it from padding.
Drafting templates with AI
You don't have to choose between "AI writes everything" and "I write everything". The Email Studio's AI tab can draft a template that you then edit and reuse. In Draft with AI, describe What's the email about?, choose a Tone (Friendly, Professional, Formal or Direct), add an optional Call to action (optional), and pick a Length. Click Generate draft and the draft arrives with variables already in place.
From there you can:
- use a text block's Rewrite menu, with options such as Make it shorter or Make it friendlier;
- click Suggest 5 under Subject ideas to get subject lines that already use variables.
Our tip: start with Short. Cold emails that get read tend to be brief, and it is easier to add a sentence than to cut a paragraph. Full details are in Write templates with AI.
Review every AI draft before it goes out
AI drafts can be wrong about your offer or about the company. That is not a reason to avoid AI. It is a reason to always check its work. Reviewing AI output is part of the job, not an optional extra.
How to review in practice:
- For templates: preview the email with a real company. Click Sample data above the preview and pick one, and turn on Missing data to see how your fallbacks read when details are empty.
- For AI-written campaigns: once the campaign is launched, open a planned email's card on the Schedule tab and click Write draft. The draft is stored and sent as shown, so what you read is what goes out. Read a handful across different kinds of company. If you launch after the day's sending hours are over, the first emails are planned for tomorrow, which gives you time to read them. If something is off, click Pause in the campaign's header and rework your brief. Drafts you've already written are stored as they are, so Remove any you don't want sent.
- For everything: read it as the recipient. Would you reply? Does anything sound invented? Is the ask clear?
What to look for:
- claims about your product that aren't true;
- statements about the company that you can't verify;
- over-the-top compliments;
- a missing or confusing call to action;
- awkward blanks where a value was empty.
Personalisation is not a licence to skip the basics
Even a perfectly personalised email has to respect the reader. In general terms (this is not legal advice):
- Be relevant. Write only to businesses that could plausibly use what you offer.
- Be honest about who you are. Use a real sender name and a mailbox you read.
- Give an easy way to opt out. Signalsant doesn't add an unsubscribe link for you, so include your own line, such as "If this isn't relevant, just reply and I won't write again."
- Respect local rules. Anti-spam rules differ by country, for example CAN-SPAM in the US and GDPR and PECR in the UK and EU. Check what applies to you and your audience.
Pace matters too. Start with a modest daily volume from a new mailbox and raise it slowly.
Step by step with Signalsant
Here is the full loop, from finding companies to sending personalised emails.
- Find companies with a Deep Search. Open Companies → Deep search, click New deep search, and enter a Query such as "dental clinics", a Country, a State and optionally a City. Set Max Pages and click Start search. Every business found on Google Maps becomes a company in Signalsant. See Run a Deep Search.
- Let enrichment run. There's no button to press. Signalsant visits each company's website to collect emails, phones and social profiles, and adds domain details and a Company Index score. Emails can appear a little after the search finishes. These details are what your variables draw on.
- Build a group. On a completed Deep Search, use Create group from the ⋯ menu, or tick companies in search results and click Add to group. A group holds up to 1,000 companies.
- Create the campaign. Open Campaigns → New campaign and work through the steps:
- Audience: tick your group.
- Content: choose One email, By category or AI-written, as above.
- Sending: choose your mailbox, set Companies a day (start low) and your sending hours.
- Review & launch: fix anything flagged. For template emails from your library, click Send me a test and read it in your own inbox. Then click Launch campaign. For AI-written emails, use Write draft on the Schedule tab to read the planned emails before they go out.
- Read replies in your own mailbox. Signalsant shows whether each email was sent or failed, but doesn't track opens, clicks or replies. Your inbox is where the conversations happen.
Start personalising properly
Good cold email personalization is a few true details, a clear reason for writing and a human check before sending. AI can do the heavy lifting on drafts, but you decide what goes out.
